GENERAL PURPOSE
The Receptionist is a fundamental and key employee at Ophir Corporation. The Receptionist is the first person a customer or client meets when visiting Ophir, therefore making sure these visitors are put at ease by a courteous and helpful professional is of upmost importance. This position requires the performance of various administrative contributing to office organization, coordination, communication, and group efficiencies supporting business execution. This position is heavily administrative, as well as employee and customer focused and will require an individual willing to take on larger tasks and responsibilities as needed. This position requires a self-starter who is detail oriented and proficient in data entry, security duties and excellent customer service.

ESSENTIAL DUTIES/RESPONSIBILITIES
  • Schedules and coordinates meeting logistics and refreshments as necessary
  • Maintains inventory of office supplies and complete reorders as needed
  • Greets and welcomes visitors and directs them to their destinations
  • Arranges business travel, and resolve travel and expense issues
  • Notifies company personnel of visitor arrival
  • Maintains security by following company procedures, monitoring logbook and issuing visitor badges
  • Completes administrative purchase orders
  • Deals with inquiries or requests from employees, as well as clients
  • Performs document creation, editing, information collection, and document management to support development of reports, metrics, and presentations
  • Coordinates the maintenance and repair of office equipment
  • Gathers, analyzes, prepares and distributes memos, reports, forms, and presentation materials.
  • Directs incoming calls to appropriate employee or taking messages as needed
  • Distributes regular and electronic mail
  • Receives deliveries and coordinates with vendors
OTHER DUTIES/RESPONSIBILITIES
  • Assists with new hire preparation and new office set up
  • Partners with Accounts Payable to process requests
  • Active on Social Activities Committee and assists with scheduling activities
  • Keeps sodas/snacks fully ordered and available for all employees
  • Responsible for ESG (Environmental, Social and Governance) activities
  • Assists with Human Resources duties
  • All other duties as assigned

JOB QUALIFICATIONS
KNOWLEDGE, SKILLS, AND ABILITY
  • Demonstrated exemplary customer service interface skills
  • Proficient using MS Office
  • Excellent oral and written communication skills. Proficient in formal and informal discussions at all levels of the business, customer and supplier organizations. Must have a professional presence in all business settings
  • Ability to send out clear and concise emails to all employees
  • Ability to work in a fast-paced environment efficiently and effectively
  • Self-starter who is able to work independently
  • Ability to establish a solid working relationship with customers, employees, management and peers.
  • Fundamental understanding of key financial practices to reconcile statements
  • Ability to prioritize and meet deadlines
  • Experience with scheduling and working with travel itineraries
EDUCATION OR FORMAL TRAINING
  • High School Diploma or equivalent
EXPERIENCE
  • 3-5 years’ experience in an Office Administrative or Receptionist role

  • Handling office supplies/snacks/sodas (moderate lifting)
